You create a new event in the "Events" module by selecting "New Event." You can open existing events from the event overview and then edit them. The form is designed as a multi-step wizard that guides you through the key settings step by step.
Specific fields or options may vary depending on the event type, booked modules, account settings, and your user permissions.
Step 1: Basic information
In the first step, you enter the basic details for your event. These include the client, title, description, language, event type, and group. The title is particularly important because it appears in many places later on - such as in the event overview, on the dialog form, and in links.
You can add further information about the event in the description field. Basic formatting options - such as bold, italics, and underline—are available for this purpose.
You also define the date and times. This includes the event start date, an optional end date, and the appropriate time zone. Additionally, you determine when the dialog form should become active and, optionally, when it should cease to be available. You can also provide an informational message to be displayed outside of the active period.
In the "Event type and address" section, you enter the location, URL, event type, address title, and address. For events that have already been saved, a direct link to the event is also displayed; you can copy this link or use it as a QR code.
Step 2: Additional information
In the second step, you configure additional settings for your event, such as the form layout. You can use the preview function to see how the selected form layout looks.
You can also select or remove a header image for the form. This image defines the visual introduction to the dialog form and should align with the event's theme.
Further options control whether the event appears in the NewsCenter and whether participation is restricted to invitees only. You can also designate specific contact persons. These will later appear as contact persons for the event.
If there is a maximum number of participants, you can enter this limit as well. Using the "Edit info text" option, you can add a message that will be displayed once the participant limit is reached or if registration is no longer possible. An internal note can contain additional information that does not necessarily need to be publicly visible.
Step 3: Confirmations
In the third step, you configure notifications and confirmation emails. You can specify whether those responsible should be notified of responses. To do this, enter one or more email addresses for notifications; separate multiple recipients with commas.
You can also use an opt-in process. Whether this is appropriate or necessary depends on the purpose of your event.
For automated confirmation emails, you can set a display name and a reply-to address. Additionally, you can edit the text for both registration and cancellation confirmations. You can use placeholders in these texts to automatically insert personal or event-specific details.
Step 4: Edit the dialog form
After saving, you proceed to the dialog form. Here, you determine which fields participants need to fill out. Depending on the event type, different fields may be appropriate - such as participation status, accompanying persons, inquiries, selection fields, or file uploads.
The dialog form is the central hub for receiving responses and registrations. Therefore, carefully check that all required information is being requested and that the form is structured in a way that is easy for participants to understand.
Editing existing events
When editing an existing event, the form will be pre-filled with the previously saved details. You can modify the content and then save your changes.
Please note that changes to the date, form, confirmation texts, or terms of participation may affect active invitations and existing responses. Especially if invitations have already been sent, you should check whether links, form fields, and confirmation emails still align with the event's current details.
