An event in detail

The event detail view provides a centralized location for all key information, analytics, and actions related to an event. You can access the detail page from the event overview by clicking the event title or the "Details" button.

The detail page is organized into several sections and tabs. Depending on the event type, your access rights, and the event's current status, the content of these sections may vary.

Overview

The "Overview" tab displays the event's key master data. This includes the title, creation date, dialogue form timeframe, event type, opt-in setting, event date, time zone, and venue.

This allows you to quickly verify that the basic details are correct and check whether the event is still active or has already concluded.

Responses at a Glance

The overview also displays key metrics regarding responses. For instance, you can see when the first and last responses were received, whether there are any unconfirmed responses, and how many responses have already been linked to "My Data."

Additionally, myconvento shows the number of responses relative to the maximum number of participants. This lets you quickly see how many people have responded and the event's current capacity utilization.

Note

In the "Note" section, you can add or edit internal information about the event. This note is ideal for organizational details, internal agreements, or supplementary information that should not appear directly in the dialogue form.

You can modify the note by clicking "Edit."

Files

The "Files" section allows you to manage event-related files. Uploaded files are displayed here along with their file name, creator, date, and file size.

You can add more files using the "Upload file" function. This is useful for participant lists, planning documents, briefings, schedules, or other documents associated with the event.

Analytics

The detail page presents various analytics regarding the event. This includes, for example, the number of participants, accompanying persons, and cancellations. Percentage values can also be displayed, such as the proportion of participants or cancellations.

In the "Responses over time" section, you can track when responses were received. This helps you see whether registrations tend to occur immediately after a mailing is sent, after a reminder, or shortly before the event.

Status and Function

In the "Status and function" section, responses are grouped by status and function. This allows you to see, for instance, how many people have attended, declined, registered, or do not yet have a clear classification.

The function can also show the roles held by participants - such as attendee, speaker, no-show, or other custom-defined values.

Actions

In the "Actions" section, you can view event-related activities from "My Data." These may include phone calls, emails, meetings, or other documented contacts.

You can switch to the full action overview via "All actions." This is useful if you want to track the communication that has already taken place regarding the event.

Key actions at the top of the page

At the top of the details page, you will find several key functions. "Edit event" allows you to return to edit mode and adjust master data, additional information, or confirmation settings.

"Dialogue form" provides access to functions related to the event form. Depending on your permissions, you can view or edit the form there.

Additional functions are available under "More actions." The specific actions displayed there depend on the event and your access rights.

Additional tabs

In addition to the overview, there are other tabs such as "Responses" and "Non-responders." In the "Responses" tab, you manage the registrations or feedback received. The "Non-responders" tab allows you to work with recipients who have not yet responded to an invitation. These areas are described in greater detail in dedicated help texts.

Summary

The event details page consolidates all key information about an event. You can view master data, the timeframe, location, responses, participant numbers, files, notes, analyses, status values, and related actions. Use the tabs to switch between the overview, responses, and non-responders. You can further manage the event using the "Edit event," "Dialog form," and "More actions" options.
