In this article we would like to address questions that go beyond the regular workflow. This question-answer catalogue is continuously updated and helps you to gain expert knowledge about ” My Data” as well as to avoid possible errors.

Q: During data import, language and country were not transferred correctly – What went wrong?
A: Here it is essential to make sure that the ISO identifiers are used; i.e. “fr” for “French”/”France”. Otherwise the system will not be able to recognize the entry and will use “German”/”Germany” as default.

Q: What are roles?
A: “Roles” allow you to address people in a targeted manner, which cannot only be defined by a “job” alone. For example, “Person X” is in your database with the main role “Leading journalist at XY”, is perhaps also working as a “freelancer” for other agencies on the side and may also be a lecturer for journalism seminars. Our system enables the role-specific approach to people and their differentiated assignment to distribution lists and mailings. In this way, every contact receives exactly the information that fits the respective role.

Q: What does dublex mean?
A: Duplex means that the email will be delivered to both e-mail addresses available in your data. This option can be enabled when creating/editing a contact or in your search result when searching for persons  for multiple contacts at once.

Q: Help! Suddenly all my contacts are no longer there! What is going on?
A: No reason to panic! What at first glance may seem frightening to you (rightly so) has to do with the “data junk” that accumulates in the form of temporary data and cookies due to frequent logins and logouts etc. Log off and delete the cookies and the cache of your browser. The next time you log in you will see your data again!

Q: How can I have a journalist move to another company?
A: Open the respective person in “My data” and have a look at their roles in the detailed view. Now tick the role you want to move, you will find the item “Move role” under “Options”. If you select this option, you can determine which data should be moved and whether it is a move to another medium or to “freelance”. You can also create a successor directly, which then takes over the distribution list assignment.

Q: Where can I find my distribution lists or dispatch distributors?
A: The distinction between distribution lists and dispatch distributors no longer exists in the current myconvento version. Each distribution list is also a dispatch list – you can access it under ” My data – Distribution lists” in the quick navigation bar.

Q: Does deleting roles from a distribution list affect “My Data”?
A: No, you do not delete the role, only its assignment to the distribution list.
To make this point clearer, the distribution lists no longer say “delete” but “cancel assignment”.

Q: My distribution list is marked with a yellow warning triangle – what does this mean?
A: The yellow warning triangle on the distribution list means that it is currently being used for a dispatch job. So there is an active or waiting dispatch for this distributor. Please note that changes to the distribution list will also change the recipient list of the dispatch job as well.
