The "All Smartlists" overview displays all existing smart lists to which you have access. It serves as a central management view for searching, opening, editing, or performing further actions with smartlists.
From here, you can create new smart lists, review existing ones, and view the contacts within a smartlist. This overview is particularly useful as the number of lists grows over time to cover various topics, campaigns, or mailing purposes.
Finding Smartlists
You can quickly locate existing smart lists using the table's search function. It is best to search for unique terms found in the smartlist's name or description.
Using descriptive names is particularly important here. If a smart list is to be reused or reviewed later, the name itself should indicate the list's intended purpose.
Information in the Table
The table displays key information for each smartlist, including the name, number of contacts, creation date, creator, date of last modification, person who last edited it, client, and description.
This allows you to quickly see the size of a smartlist, who created it, and when it was last modified. If your account handles multiple clients, the "Client" column helps with categorization.
Viewing Contacts
You can open the contacts in a smart list by selecting "View contacts" or clicking on the smartlist's name. There, you can see which individuals or email addresses are currently included in the list.
This function is important before reusing a smart list. Review the contacts to ensure the list is up-to-date, complete, and suitable for your intended purpose.
Editing a Smartlist
Use the "Edit" function to modify a smartlist's core details, such as its name, description, or client assignment.
Use this feature if you need to rename a smartlist, provide a clearer description, or adjust its organizational settings. You can review and manage the contacts themselves via the list's detail view.
Sign-up Form Code
The "Sign-up Form Code" option opens a modal window containing HTML code that can be copied. This code allows you to embed a simple sign-up and unsubscribe form on an external website.
The form includes options to subscribe or unsubscribe, an email address field, and a submit button. A preview of the form is also displayed in the modal. You can copy the code using the "Copy to clipboard" function.
This feature is useful when you want to allow individuals to subscribe to or unsubscribe from a Smartlist independently.
Search for Contacts
The "Search for Contacts" option allows you to specifically search for individuals within your Smartlists. The modal includes search fields for last name, first name, and email address.
This search function is handy when you need to check if a specific contact is already included in a Smartlist. It saves time - especially when dealing with numerous lists - by eliminating the need to open each Smartlist individually.
Customize Columns and More Actions
"Customize Columns" lets you control which table columns are displayed, allowing you to tailor the overview to your specific workflow.
The "More Actions" menu provides additional functions for selected Smartlists. Depending on your selection and permissions, you can view contacts, edit a Smartlist, access the sign-up form code, or delete Smartlists.
Summary
The Smartlist overview serves as the central hub for managing your lists. It provides an at-a-glance view of key information, allows you to search specifically for Smartlists or contacts, and enables you to continue working on individual lists.
Make regular use of this overview to keep your Smartlists up to date, review content, and quickly locate the right lists for your mailing or communication tasks.
