How to create a new clipping

Learn how to create a clipping manually when an article was not imported automatically from another myconvento module.

The Clipmanager allows you to manually create new clippings. This is particularly useful if an article was not automatically imported from media monitoring, media intelligence, or another source, but you still wish to manage or evaluate it within the Clipmanager or use it later in a press review.

Opening a new clipping

Click "Create new clipping" in the Clipmanager. A form opens where you can enter the key details regarding the article. The form is divided into several tabs, allowing you to manage master data, content, media details, evaluation, topics, links, and files separately.

Entering metadata

In the "Clipping Metadata" tab, enter the basic information about the article. This includes the publication date, channel, country of publication, language, reach or circulation, and sentiment.

The channel specifies whether the item is, for example, an online or print clipping. The country of publication and language facilitate filtering and analysis later on. Sentiment describes whether the article is rated as positive, neutral, or negative.

Entering the headline and URL

The headline is a mandatory field. Enter the article title here exactly as you want it to appear in the overview and reports. You can also enter a sub-headline if the article has a supplementary brief description or subtitle.

In the URL field, you can save the web address for online articles. The icon next to the field allows you to open the entered URL directly. For print clippings, this field can be left blank if no online address exists.

Adding content and notes

In the "Content / Note" tab, you can enter a summary of the article. This summary helps you quickly review clippings later without having to open the full article.

A field for notes is also available, where you can record internal remarks, processing notes, or supplementary information. These notes are particularly useful when multiple people are working with the clippings or when an item needs to be reviewed again later.

Assigning Medium and Author

In the "Medium / Author" tab, you can link the clipping to a medium or a role from "My Data." You can use the search function to find the appropriate medium and apply the assignment.

If the medium does not yet exist, it can also be created or added to your data, depending on your permissions. Accurate assignment is important so that clippings can later be analyzed by medium, author, or role association.

Managing KPIs

Additional evaluation criteria can be managed in the "KPIs" tab. The fields displayed there depend on the KPIs configured in the Clipmanager.

These criteria can be set up as text inputs, numeric inputs, or yes/no selections, for example. This allows for a more detailed evaluation of clippings - going beyond standard data - and enables them to be structured for future analysis.

Assigning topics

In the "Topics" tab, you assign the clipping to one or more topics. Topics help group items by content and allow for targeted filtering later on.

Consistent topic assignment is particularly useful when working with large volumes of clippings. It enables you to quickly retrieve all items related to a specific main topic or sub-topic at a later date.

Linking distribution orders and events

Depending on your permissions, additional tabs for distribution orders and events may be displayed. Here, you can link a clipping to existing mailings or events.

These links are helpful if you want to track whether an item originated in connection with a specific distribution, invitation, or campaign. This ensures that media coverage is accurately linked to the specific communication occasion.

Attaching files

In the "Files" tab, you can upload attachments to the clipping. This is important for print clippings, for example, if you need to save a PDF, scan, or tear sheet.

Existing files are displayed in a list and can be downloaded or removed. New files can be added via the upload area.

Saving the clipping

Once all key details have been entered, click "Save." The clipping is then created in the Clipmanager and appears in the overview. From there, it can be further filtered, edited, added to a watchlist, archived, or used in press reviews.

Before saving, pay particular attention to the headline, publication date, channel, and topic assignment. These details are crucial for ensuring the clipping can be correctly located and analyzed later.

Summary

A new clipping is created using the "Create new clipping" function. In the form, you first enter metadata such as date, channel, country, language, reach, and sentiment. You can then add content, notes, medium, author, rating, topics, distribution orders, events, and files. Once saved, the clipping is available in the overview for further editing, analysis, or use in press reviews.
