The handshake symbol

In pressbase Classic, the handshake icon indicates whether a search result is already linked to your own contact data in "My Data" or if there are potentially similar records.

In pressbase Classic, the handshake icon indicates whether a search result is already linked to your own contact data in "My Data" or if there are potentially similar records. This allows you to quickly see whether a contact is new and ready for import, already exists, or requires closer inspection before importing.

This is particularly helpful with large lists of results. You do not need to open each contact individually; instead, you can see the status of a result relative to your own data directly in the overview.

Gray: Not yet in "My Data"

A gray handshake icon means that no matching contact was found in "My Data" for this result. This implies the contact has not yet been imported, and there is no discernible record with the same or a very similar name.

In this case, you can adopt the result and import it into your own data if desired. However, you should still briefly verify that the person, medium, role, and topic align with your planned communication.

Yellow: Potential match found

A yellow handshake icon indicates that myconvento has found a contact in "My Data" with the same or a very similar first and last name. This does not automatically mean it is the same person.

Therefore, before importing, you should check more closely whether the existing contact is truly identical. Pay attention to details such as the medium, company, location, editorial desk, email address, or role. Especially with common names, it is possible for different people to share similar names without having any connection to one another.

The yellow icon thus serves as an important indicator for avoiding duplicates.

Green: Already imported

A green handshake icon means the result is already linked to a record in "My Data." This indicates the contact has already been imported or clearly assigned.

In this case, you generally do not need to import the contact again. You can continue using the contact within your own data, add them to distribution lists, or use them for mailing campaigns.

Why is this icon important? The handshake icon helps you keep your contact data organized. Without this indicator, contacts might be imported multiple times even though they already exist in your system. This can lead to duplicates, cluttered distribution lists, or inconsistent contact information later on.

The icon allows you to see at a glance which imports are straightforward, which require review, and which contacts are already part of your database.

Recommended Workflow

Examine results marked with a yellow icon particularly carefully before importing them or adding them to a list of results. If necessary, open the detailed view to compare the medium, role, and contact details.

For results marked in gray, you can decide whether to add the contact as a new entry. You can generally use green-marked results immediately, as a link to "My Data" already exists.

Summary

The handshake icon serves as a quick visual aid in pressbase Classic. It indicates whether a contact is new, potentially already exists, or has already been linked to your own data. This helps you avoid duplicates and prepare result lists more reliably for distribution and contact management.
