Unlike a standard database search, the AI Publisher focuses more on content: it analyzes the subject matter of your release and suggests contacts whose past publications, topics, or media profiles align with it. This allows you to quickly identify which recipients might be relevant for a specific press release, topic, or campaign.

Preparing the search

Before starting a search, define the parameters. These settings determine which dataset is searched and what type of results are considered.

Use the language and country options to select the market for which you want to find results. For example, the default setting might be Germany with the German language. This selection is important because it determines which authors and media outlets are included in the suggestions.

Use media categories to narrow down the types of media to be considered. Depending on your communication goals, you can select options such as newspapers, trade journals, blogs, radio, TV, news agencies, or online media. If you do not need to restrict the scope, you can leave the selection open for a broader search.

Defining the intent

The "intent" setting describes the communicative purpose of your release. Options include, for example, "Inform" and "Appeal."

"Inform" is suitable when your release aims primarily to convey knowledge, news, corporate information, or factual background details. This setting works well for standard press releases, new product announcements, studies, events, or corporate updates.

"Appeal" is appropriate when your release aims to drive action, shape opinion, or encourage participation. This is relevant for campaigns, calls to action, social issues, or political causes, for example.

Specifying the intent helps the AI Publisher better align the suggested results with the nature of your communication.

Selecting the target scope

Use the "Target" setting to determine whether your search should cover a national or regional area, or a specific radius. A national scope is suitable if your topic is relevant to a broad audience or if you wish to reach nationwide media outlets and journalists.

Opt for a regional scope if your announcement has a clear local or regional connection. This is useful for topics such as site-specific issues, regional events, municipal projects, or local offerings.

A radius-based search is helpful when you want to find results around a specific location. This allows you to narrow down the search geographically—for example, to media outlets and journalists located near an event venue or company site.

Show only results with email addresses

The "Show only results with email addresses" setting determines whether the system suggests only contacts for whom an email address is available.

If you want to prepare a direct mailing, selecting "Yes" is usually the better choice. This ensures you see only results that are suitable for direct email outreach.

Conversely, if you want to conduct initial research or gain a better understanding of the subject area, selecting "No" may be useful. This yields more results, even if not every contact can be used for a mailing immediately.

Search via press release

In the "Press Release" tab, you can paste the full text of your press release. The AI Publisher then analyzes the content and searches for relevant authors and media outlets.

This search method is particularly powerful when you already have a concrete text. You do not need to derive keywords yourself; instead, you can have the content analyzed directly. The AI Publisher identifies topics, terms, contexts, and potential areas of focus from the text.

For the analysis to be effective, the text should be of sufficient length. The interface indicates that a press release should contain at least 256 characters. The more informative the pasted text is, the better the suggestions will be.

Search via keywords

In the "Keywords" tab, you can enter your own terms. This search method is suitable if you do not yet have a finished press release or wish to work specifically with certain topic-related terms.

You can enter individual terms or combinations—such as names, organizations, subject areas, products, industries, or events. The AI Publisher uses these keywords to suggest relevant publications and the authors or media outlets associated with them.

This option is particularly practical for the early stages of research. If you are just beginning to prepare a topic, you can experiment with various terms and see what results they generate.

Search via topics

In the "Topics" tab, you work with a topic tree. There, you can select topic areas that match your message. The topics are organized into main categories and subcategories - such as business, technology, health, sports, culture, or regional topics.

This search method is suitable if you prefer to define your topic based on editorial classification. Instead of formulating your own keywords, you select appropriate categories from the existing list of topics.

The topic tree is particularly helpful when a topic spans multiple areas. For instance, a technical innovation might simultaneously relate to business, industry, and science. Selecting multiple topics allows for more precise control over the search results.

Generating suggestions

Once you have entered all the necessary information, start the search by selecting the option to generate suggestions. The AI-Publisher then creates a list of matching authors and media outlets.

These suggestions are based on how well the selected or analyzed content aligns with existing publications, topic profiles, and contacts. Consequently, the list is not merely a name search but a recommendation based on content relevance.

Reviewing results

After the search, you should carefully review the suggested results. Open the entries for authors or media outlets to view additional information. This allows you to better assess whether a result is truly a good fit for your topic.

Pay attention not only to names but also to past publications, thematic focus areas, the media environment, and available contact details. Expert review is particularly important with AI-generated suggestions to ensure the final distribution list is truly suitable.

Working with result lists

Once you have found suitable results, you can continue working with them. Use the "Save as result list" function to store selected results for future use. Existing lists can be accessed via "My result lists".

A saved result list is ideal if you wish to refine the results further, reuse them later, or prepare them for a distribution campaign. This transforms an automated recommendation into a concrete working list.

Starting a new search

Use the "New search" function to reset your inputs and start over. This is useful if you want to try a different topic, select a different target region, or switch from a keyword search to a search based on a press release.

It is worth testing several search variations, especially at the beginning. Small changes to the text, keywords, target audience, or media types can significantly alter the suggested results.
